Omnez GmbH (“nobitsy”, “we”, “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store and safeguard your personal data when you use the nobitsy platform.

1. Data Controller

2. Data We Collect

We collect the following information during registration and use of the Platform: your name, work email address, phone number, job title, company name, country and Tax Identification Number (VAT or equivalent). When you connect a source (mail, bank, LinkedIn, WhatsApp, calendar, ERP) we process the data that source provides to build your clients' records. We also collect usage data such as pages visited and actions taken to improve our services.

3. Purpose and Legal Basis

We process your data for the following purposes: to verify your company identity and provide access to the Platform (contract performance, Art. 6(1)(b) GDPR); to run the connected sources and the assistant you configured (contract performance, Art. 6(1)(b) GDPR); to improve our services and user experience (legitimate interest, Art. 6(1)(f) GDPR); to comply with legal obligations such as tax and accounting requirements (Art. 6(1)(c) GDPR); and to send service-related communications (legitimate interest, Art. 6(1)(f) GDPR).

4. Data Sharing

We do not sell your personal data to third parties. We share data only with: service providers who process data on our behalf (hosting, authentication, AI model providers, analytics); the sources you connected, to the extent needed to read from or write to them; your clients, where you share a quote, an invoice or a file with them through their Client Space; and public authorities when required by law.

5. Third-Party Services

We use Vercel for hosting, Neon for the database, Resend for transactional email and AI model providers to draft the assistant's proposals. Each service provider processes data in accordance with their own privacy policies and our data processing agreements.

6. Data Storage and Security

Your data is stored on servers within the European Union, isolated per workspace. We implement industry-standard technical and organizational measures to protect your data against unauthorized access, loss or misuse. Access to personal data is restricted to authorized personnel only. You can export your workspace at any time.

7. Data Retention

We retain your personal data for as long as your account is active or as needed to provide services. After account deletion, we retain data only as required by applicable laws (for example tax retention obligations under German law).

8. Your Rights (GDPR)

Under the GDPR, you have the right to: access your personal data; rectify inaccurate data; request deletion of your data; restrict processing; data portability; and object to processing based on legitimate interest. To exercise these rights, contact us at contact@nobitsy.com. You also have the right to lodge a complaint with a supervisory authority.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice on the Platform. Continued use of the Platform after changes constitutes acceptance of the updated policy.
